Job Title: Document Controller Lead
Department: Administration / Project Management
Reports to: Project Manager / QA/QC Manager
Location: On-site / Office

Job Summary:

The Document Controller Lead is responsible for managing all project documentation, ensuring that it is properly organized, stored, and accessible to the team. This role involves overseeing the document control team, implementing document management processes, and ensuring that all documentation complies with company standards and regulatory requirements.

Key Responsibilities:

  • Lead the document control team and manage the flow of project documents (drawings, contracts, reports, etc.).
  • Ensure that all project documentation is properly organized, indexed, and archived.
  • Implement and maintain document control procedures to ensure accuracy and compliance.
  • Coordinate the distribution and approval of documents among the project team, contractors, and clients.
  • Manage document revisions and ensure that the most current versions are in use.
  • Maintain the project document register, tracking all documents received, issued, and archived.
  • Ensure that all documents are stored securely and comply with confidentiality and regulatory requirements.
  • Prepare and submit documentation reports to management and other stakeholders.
  • Assist in the preparation of tenders, contracts, and other project-related documents.
  • Conduct periodic audits of documentation practices to ensure compliance with project requirements.

Requirements:

  • Bachelors degree in Business Administration, Engineering, or a related field.
  • Minimum 3-5 years of experience in document control within the construction or engineering industry.
  • Strong organizational skills with attention to detail.
  • Excellent communication skills and the ability to work in a fast-paced environment.
  • Proficient in document management software (e.g., Aconex, Procore) and MS Office.
  • Knowledge of construction documents, drawings, and standards.
  • Ability to lead and manage a small team.
